Warning Signs Your Commercial Cleaner Is Underperforming

The early signs a commercial cleaning contract is slipping, how to document them against your scope, and when to raise it, fix it or switch.

The main warning signs of an underperforming commercial cleaner are repeated missed tasks, frequent staff changes, slow or defensive responses to complaints, no regular reporting and complaints from your own people about the same areas. One slip is normal. A pattern is a problem.

What are the common signs?

  • The same tasks are missed. Bins, washrooms and kitchens are the usual places people notice first.
  • Staff keep changing. If you never see the same cleaner twice, nobody learns your building.
  • No supervisor contact. Nobody checks the work or answers when you call.
  • No proof of work. There are no checklists, reports or inspections.
  • Complaints go nowhere. Issues are acknowledged but not fixed, or come back.
  • Supplies run out. Consumables are not restocked.
  • Your own staff complain. Washrooms and kitchens are what people notice and talk about.

How do you tell a bad week from a pattern?

Keep a simple log: date, area, what was missed and when you told the contractor. Compare it to the written scope. If the same issues repeat across several weeks, or recur after being fixed, it is a pattern. A log also turns a vague feeling into evidence you can use in a conversation or a contract review.

What should you do first?

Raise it early, in writing, against the scope. Say what was missed, when and what you expect. Ask for a response and a date for the fix. Good contractors act quickly. If your scope is vague, you will struggle here, which is why a written scope of work matters.

When is it time to escalate?

Escalate when issues repeat after you have raised them, when the contractor stops responding, or when there are safety or compliance concerns such as missing insurance or unsafe chemical storage. Check what your contract says about remedies and notice. Request a meeting with someone senior and agree a written improvement plan with dates.

When is it time to switch?
